Put one clear record behind the task.
If staff compare several spreadsheets before they can answer a question, an internal application may be useful. We start by finding the decision the team needs to make and the records that support it.
Map the current work
We examine assignment, review, correction and handover. The first release follows a complete item through a meaningful stage, including what happens when the normal reviewer is absent or an input is incomplete.
Design roles around responsibility
People receive the views and actions needed for their work. Permissions apply to exports, documents and reports as well as visible screens. An ordinary staff account is part of the review, rather than testing everything as administrator.
Plan the changeover
Record imports, reconciliation and a recovery approach are agreed before switching the team. The handover explains routine tasks, account ownership and support. Scope grows with exceptions and dependencies, so we make those visible early instead of hiding them behind a feature list.
