Trace the point where a useful record becomes an uncertain handover

A workflow diagram can look orderly while staff still depend on private messages to continue the task. Examine the information carried between steps, rather than only naming the steps themselves.

Follow one offer into the next department

Use a fictional revised quote. Record the request, original offer, replacement and customer decision. At each handover, ask the receiving person which record they open and what permits the next action. If billing starts from a PDF saved locally, the workflow may lack an agreed source even when every department uses the same status name.

Find overloaded states

“Approved” could mean internally checked, sent to a customer or commercially accepted. Split those meanings where the actions and evidence differ. Keep a notification separate from the decision it asks someone to make. A delivered email does not establish that the recipient reviewed the offer.

Include correction and absence

What happens if the customer changes the requirement after acceptance? Who acts when the usual reviewer is unavailable? A process depending on one person's memory has an operational dependency that another screen may not remove.

Choose a first development phase that carries one complete item through a useful stage. Review should let the receiving person explain the record and continue without reconstructing the conversation. Read operational applications for the engineering scope or use the brief guide to capture the example.
